As a parent, you don’t have to wait for the school to call an IEP meeting. If you see something isn’t working—or your child’s needs have changed—you have the right to request a meeting at any time. The tricky part? Figuring out how to word that request in a way that is clear, respectful, and makes sure you’re taken seriously. To make it easier, I’ve created a free template letter you can customize. Just fill in your child’s information and specific concerns, and you’ll have a professional, collaborative request ready to go.

Below are two versions of a parent letter requesting an IEP meeting: a full detailed version and a shorter quick request version. Parents can fill in their information and specific concerns.

Dear [Director/Case Manager’s Name],

I am writing to formally request an IEP meeting regarding my child, [Child’s Name]. I have some concerns that I believe should be addressed by the full IEP team.

I understand that, as a parent, I am an equal member of the IEP team. I also understand that I will be involved in scheduling to ensure that I can fully participate and that I will receive written notice of the meeting once it is arranged.

My hope is that this meeting will provide an opportunity for collaborative problem-solving so that [Child’s Name]’s IEP provides the supports necessary for meaningful progress and learning within their capabilities.

At the meeting, I would like to discuss my specific concerns regarding:-

  • [Insert concern here]

  • [Insert concern here]

  • [Insert concern here]

To help me prepare, I respectfully request a copy of [Child’s Name]’s most recent IEP (or amended draft IEP) in advance of the meeting. I would also like to receive copies of the following documents for review:

  • [Any evaluation reports requested]

  • [Teacher progress notes]

  • [Specify any other records you want]

Thank you for your attention to this request and for your support of [Child’s Name]. Please feel free to contact me at [phone number] or [email address] if you have any questions.

Sincerely,

[Parent Full Name]
